Topic: Discussing implementations of practical tools for handling the new VISTA surveys.


Agenda - Minutes

1. SVMT (incl. brief overview of current status: Michael)

Stephane Marteau (SMA) modified the SVMT ingestor, such that it is only harvesting OB information (not harvesting raw data or data products). This made SVMT running much faster, and hence made it usable again. MHI and MRE tested it on their local machines and confirm it works fine. Having only OB information available serves USD purposes.

For illustration purposes ASG would possibly have a need to see data products. However, SMA reported that data products are not included in the database that is queried by the SVMT ingestor. Possibly the database location of the products was changed during the PHASE3 upgrade?

From the tests done by SMA, MHI and MRE it was clear that the raw data were the bottleneck that slowed SVMT down. Maybe the data products could be added without problems.

AI JRE/MHI: Clarify phase3 database structure/location. Where have the products gone? Investigate, such that SMA can load the data products. Then, follow-up how SVMT performs with data products.

AI MHI: Make a footprint overview for the 2nd generation VISTA Surveys (illustration that is then put on our PS webpages)

Additional note: SVMT is also installed on the USD central machine usg4, from where it can be started remotely. However, sending the display output to a remote machine is very slow – not recommended!

2. Twiki page (incl. brief overview of current status: Monika)

The twiki page was set-up by Magda. The link is https://www.eso.org/wiki/bin/view/SPS/WebHome

ASG and EST group members have been added and can access and edit the twiki. Brainstorming about the structure and content of the twiki page led to these suggestions:

  • put here a link to the shared document repository for the SMP’s, OPC reports, PSP reports etc. and store on the twiki the final reports.
  • store all doc templates for the various reports and SMPs on the twiki.
  • create overview table containing total time allocated to PS, allocation per run, accumulated successfully completed hours, and maybe also RA/DEC/observing conditions of incompleted OBs such that this information can be used automatically for determining the carry-over time, add comments to runs (e.g. compensation run? normal run?)
  • Organization of the tables: Group by surveys?
  • Add another table that summarizes the Phase 3 status per survey to indicate if the submission has been completed or what is still missing.
AI MPE: set-up the first twiki structure, then to be followed-up/extended by other EST/ASG members

3. Scheduling (PS time allocations, where are these info stored, which databases?: Gaitee)

GHU explained that there is a flag in the opc70 database that indicates if the time allocations are in the "private schedule" or in the public schedule. It was noted in the past that the total time allocation that USD "sees" in their public survey support overview pages (which is created from queries/scripts running on the opc70 database) is sometimes different from the total time allocations reported by OPO, extracted from the same database. Sometimes the time allocation between the private schedule and public schedule changes, but this should not be the cause for the differences. AI MPE and GHU: review where the allocation discrepancies are and what’s their origin. Furthermore, define the columns that are presented in the allocation tables.

4. Miscellaneous

An update of the public survey webpages is required before the release of the CfP (March 01), including a more detailed description of the new VISTA surveys (AI: Magda? All?)

A Science Newsletter announcement stating the approval and start of the 2nd generation VISTA surveys should be prepared as soon as the letters by DG and PIs are signed.

The idea of scheduling PS only once per year was discussed and is welcomed by USD and OPO. The EST should possibly bring this up for discussion to the ESO management during the "Lessons learnt" workshop.

VHS: At this moment the VHS team has not submitted any data release descriptions beyond DR2. No catalog for DR 4, and no OPC P99 report. Gaitee will prepare an update message for Rob regarding the current status of VHS (non-)compliances. This will also include a report on how many hours of OB submission are still pending (note, there has been a recent submission; Gaitee will check with Michael how many hours of OBs were submitted/are still missing). Recommendation from EST: move VHS to lowest execution priority from April 01st on. Also inform PSP.
